How to configure the Nexudus and PilotoMail integration through Syncaroo.

Let's walk through the steps of integrating Nexudus with PilotoMail through Syncaroo. The integration will automate member sign-up and push mail charges from PilotoMail to Nexudus, so billing and charging will be streamlined in your space management platform.

How does the integration work?

There are two things Syncaroo needs for the integration: a data source and an automation. The data source is where all the data lives and in this case, it's Nexudus. PilotoMail will work as the automation that will streamline certain processes. Follow the steps below to configure this integration.

Create your Syncaroo Account


The first step is creating your Syncaroo account, which is free of charge.

  1. Click here to create your Syncaroo account.

Add Nexudus as a Data Source in Syncaroo


Now that you have registered in Syncaroo, the first thing to do is add Nexudus as your data source.

  1. On your Syncaroo home page go to Add Data Source.

  2. Choose Nexudus in the drop-down menu where it says Please Select One.

  3. Click on the link shown, which you can also find here. This link will take you to Syncaroo's instructions on how to connect with Nexudus.

  4. Scroll down to Step 3 and click on the link to log in to Nexudus. The link will take you directly to the Add-ons page. You can find the link here as well.

  5. On the Add-ons page, scroll on the page until you find the Syncaroo.com v2.0 application and click Select. A page will open up and you'll be asked to approve the connection, and then be redirected to Syncaroo.

    🚨 Make sure you are running the application in your preferred location. If you are adding multiple locations, you will have to run the application per location.

  6. Click Save Data Source. Syncaroo will start syncing your Nexudus data, which will take a couple of minutes depending on how heavy is the data. This will only happen the first time, if you decide later on to add another location, it won't take as long.

  7. Now select your location from the dropdown and update your location details. You are required to upload a location image, fill out your location address, select a language, and select a currency. Then click Save.

  8. After saving your location details, in the Select Location dropdown, choose your location once again, and click Yes & Add First Workflow.

Add PilotoMail as an Automation in Syncaroo


To finish the integration, add PilotoMail as an automation and link your Nexudus location(s) with your PilotoMail location(s) and your Nexudus memberships with your PilotoMail plans.

  1. Click on the Automate more of your day! box. Then, on the Select Automation dropdown, select Piloto, in the Custom Name field type PilotoMail, then click Add Automation.

  2. In the PilotoMail box, click Activate.

  3. Now, click Reauthenticate at the top left corner. You will be redirected to your PilotoMail's operator page. Provide your tenant name and login information.

    🚨 Make sure you are not already logged in to your PilotoMail operator account. If you are, log out then click Reauthenticate in Syncaroo.

  4. You will be redirected to Syncaroo, where you will see your location name under Locations. To the right of the location name, click on the Don't Sync dropdown to link your Nexudus location with their corresponding PilotoMail Space.

  5. Click on the expand icon to the left of the location name to start linking your Nexudus memberships to your PilotoMail plans.

  6. To link, click on the toggle button of your preferred Nexudus membership, and in the Select dropdown, choose with which PilotoMail plan you want to link that membership. Repeat the step until you link all of your preferred memberships with your selected plans, when done, click Save Location.

🎉 That's it! You have successfully configured the PilotoMail integration with Nexudus through Syncaroo.
