Mailbox Compliance Process in PilotoMail

Learn how to verify the identity of your renters using PilotoMail.

For a Commercial Mail Receiving Agency (CMRA) to be in compliance with USPS regulations, a renter must have given a CMRA authorization to accept and handle their mail. A CMRA also needs to verify and confirm a renter's identity to accept their mail.

To complete the process, a renter must provide the CMRA with two IDs and fill out a CMRA form. There are three ways you can ask for these documents from your renters:

Manually

Renters can provide you with all of their compliance documentation for you to upload for them.

Manual compliance process


Upload the renter's two IDs:

Operators must upload their renter's IDs to the corresponding mailbox. Remember one of the IDs must have a picture.

  1. Click Renters on the sidebar.

  2. Search and select the renter's name under Full Name.

  3. On the window, scroll down and click Upload Document beside ID no.1.

  4. Select the type of document provided for ID 1.

  5. Repeat steps 3 & 4 for ID no.2.

Upload the mailbox's CMRA:

Operators must send a blank CMRA form (find here) so the tenant can fill it out and send it back to the operator for upload. Find below how to upload the form:

  1. Visit Mailboxes on the sidebar.

  2. Search and select the mailbox's PMB.

  3. Click the ⇧ upload icon next to Compliance.

  4. Find the CMRA from your files and click Open.

Confirm Address:

  1. Now the renter will input their address ID information.

    🚨 The address the renter should input is the one on their ID.

Hybrid

Renters can submit their IDs for approval through the PilotoMail platform and then proceed to sign the 1583 form after approval.

The renter submitted IDs for approval

Renters will submit their IDs for you to approve.

  1. Click Renters on the sidebar.

  2. Enable the Action Required button right beside the search bar. This will show all of the renters that are waiting for ID approval. You'll be able to see which ID needs approval by their Processing status.

  3. Select the renter's name under Full Name.

  4. Scroll to the ID that needs approval and click Review Document.

  5. Then click either Approve or Reject.

  6. If there's another ID that needs approval, follow steps 4 & 5 to complete.

πŸ“Œ For the 1583 form submission, they can either continue the process through the platform or send it to the operator for upload.

The renter will electronically sign the 1583 form through the platform:


🚨 Before signing the renter will have to input their address ID information. The address the renter should input is the one on their ID.

  1. After the IDs are approved, the renter will log back into their mailbox and click Finish Compliance.

  2. The next step is to review their 1583 form and click Next.

  3. Now, they will add their signature on the box provided under Sign Here, then click Sign and Submit.

Or upload the mailbox's CMRA 1583 form:

Operators must send a blank CMRA 1583 form (find here) so the tenant can fill it out and send it back to the operator for upload. Find below how to upload the form:

  1. Visit Mailboxes on the sidebar.

  2. Search and select the mailbox's PMB.

  3. Click the ⇧ upload icon next to Compliance.

  4. Find the CMRA from your files and click Open.

Confirm Address:

  1. After uploading the IDs and the 1583 form, the renter will log back into their mailbox and click Finish Compliance.

  2. Now the renter will input their address ID information.

    🚨 The address the renter should input is the one on their ID.

Automated

In the automated process, there's nothing you as an operator has to do. This is a self-serve process. Find below how this process works.

Using PilotoMail's ID validator


When using our verification flow, it will ask for 2 photo IDs and a selfie from the user. Learn more about the ID verification process for users and signing and confirming a CMRA form in PilotoMail.

πŸ“Œ Note: Mail managers and authorized recipients receiving mail at your location would need to follow the ID verification process.

Upload 2 IDs:

Our automated ID Verification Process can only be completed with IDs that include a photograph of the renter. If the renter cannot provide two IDs with their photograph, a manual process can be done with just one ID. The renter can submit a second document for you to approve or send you the second document for you to upload.

  1. Click Finish Compliance.

  2. Go to Identification 1 and click Verify ID. Then click Verify ID with Stripe.

  3. The system will take a photo of your ID, front and back, if applicable. You'll have to place the front of your ID in the rectangle to scan. After you are prompted, scan the back of your ID.

  4. Then, you'll be asked to take a couple of pictures of your face. Be ready, it's fast!

  5. The system will submit the information for verification.

  6. Follow steps 2 & 3 for Identification 2.

Confirm Address:

  1. Now the renter will input their address ID information.

  2. Click Next.

    🚨 The address the renter should input is the one on their ID.

Sign the CMRA form electronically through the platform.

  1. The next step is to review their 1583 form and click Next.

  2. Now, they will add their signature on the box provided under Sign Here, then click Sign and Submit.
